SHAREWARE TRIAL You may have procured this software from another source such as the libraries on Compuserve, a BBS, a shareware disk vendor, or from a friend. That's fine!. We encourage registered users to introduce new users to Data Master by providing them with an unregistered copy. Try it out for up to 30 days, and if you decide to continue using it, pay the license fee of $39. You'll receive a registered copy and other benefits described below. Shareware gives users a legal but limited trial period to test the software before purchase. Label Master in shareware form is fully functional and completely documented. However, telephone support is not available to unregistered users. You must purchase the program (called "registering") before you can get telephone support. The $39 registration fee will be charged to your COMPUSERVE account. COMPUSERVE will notify us immediately of your registration and we will mail you your registered copy of Label Master immediately. BENEFITS OF REGISTRATION 1. FREE LICENSED COPY OF THE MOST RECENT VERSION OF LABEL MASTER, sent to you immediately by first class mail. Your registered copy will include any new features which have been added since the shareware copy was released, and will include corrections for any bugs or problems reported to us. In other words, the latest and the greatest. 2. PRINTED USER MANUAL, containing complete operation instructions. 3. FREE TECHNICAL SUPPORT by phone, FAX, Compuserve E-mail, the RKS Software BBS, or by regular mail. We will gladly help you with any problems or questions you may have. Telephone technical support is available only to registered owners. 4. DISCOUNT on upgrades to future versions. If you don't register, we can't notify you of new versions of Label Master. CASS CERTIFICATION Label Master is CASS Certified by the U.S. Postal Service. CASS Certification means that you can obtain postage discounts when using bar-coded labels produced by Label Master. Your local post office can either refer to its official CASS Cetfification list, or call the U.S. Postal Service National Address Information Center at 1-800-238-3150 for verification. Page 4 INSTALLATION Make a working copy of the program disk and put the original away in a safe place. 1. Place the working disk in drive A. 2. Type A:\INSTALL. 3. The install program will install Label Master 5.1c on the hard disk drive you have specified, in a directory called LM5, and start Label Master 5.1c for you. 4. To start Label Master 5.1c any time in the future, go to the LM5 directory, and type LM5. - VERY IMPORTANT - CONFIG.SYS FILE DOS uses the CONFIG.SYS file to set certain defaults for your computer. It MUST be in the root directory of your fixed disk. If you do not already have a CONFIG.SYS file you MUST create one that has these two lines, and place it in your root directory: FILES=21 BUFFERS=16 If you already use a CONFIG.SYS file that does not include settings for files and buffers, you MUST add the two lines above to the file. You can do it with any text editor. If your CONFIG.SYS file already contains settings for files and buffers greater than these, you can leave them as they are. STARTING LABEL MASTER 5.1c Type LM5 at the DOS prompt of the LM5 directory to start Label Master 5.1c. In most cases, Label Master 5.1c will be able to detect whether you have a color or monochrome monitor. If you have a monochrome monitor and the Label Master 5.1c screens appear to have a bright, washed out look, type LM5 M to start Label Master 5.1c. The extra M tells Label Master 5.1c to use monochrome, not color. When you first start Label Master 5.1c, go to the Services menu and select your printer (option K). Page 5 MENU OPTION: ADD Select this option to add new records. Use the Prefix field for Mr., Mrs., Dr., etc. Use the date field to record any date which may have meaning for that record. The Notes field can be used for any information you want, but if you want to code your records this is the place to do it. You will probably work out your own coding schemes, but here are some examples. If you want to keep business and personal records in the same file, you could enter a P in the Notes field for Personal, and B for Business. To keep the records of job applicants and employees in the same file, you could code Applicants with A and Employees with E. The important thing is that the codes be unique. See Appendix A for how to use the F10 filter to select sets of records based on codes in the Notes and other fields. MENU OPTION: EDIT Select this option to edit any record. Press PgDn to save your changes. NOTE: at the Date field, press the F5 key to paste in a date from the popup calendar. Also works in Add mode. MENU OPTION: FIND Select this option to find a record. Enter the search criteria and press PgDn to search. If using a last name or zip code in the search criteria, first use the F3 key to pick the matching index field, and the record will be retrieved instantaneously. A small arrow appears beside the Last Name or Zip Code field heading to indicate the currently selected order. Label Master 5.1c will display the first record matching the search criteria. For example, if you enter SMITH in the Last Name field, Label Master 5.1c will find the first Smith in the file. If you enter CA in the State field, and nothing else in any other field, Label Master 5.1c will display the first California record in the file. If you enter SMITH in the Last Name field and CA in the State field, Label Master 5.1c will display the first Smith in California. You may also use the F3 key to select Record Number order as the method for displaying your records. When Finding a record when records are displayed by Record Number order, you will be prompted for the record number. Enter the record number you want and press Enter. The record number is displayed is the lower right-hand corner of the screen above the total record count. Page 6 MENU OPTION: ZAP Select this option to delete the current record. MENU OPTION: NEXT Select this option to display the next record. MENU OPTION: PREVIOUS Select this option to display the previous record. MENU OPTION: DIAL If you have a modem on your system, you can use this option to automatically dial the phone number of the displayed record. MENU OPTION: LABELS Select this option to print mailing labels. You will be presented with the following menu: ITEM SETTING RANGE Set labels across to............ :1: 1 to 4 labels across Set label width to.............. :2.7: 1.5 to 4.5 inches Set left margin to.............. : 0: 0 to 70 spaces Print........................... : 1: copies of each label Enter an X to print field....... : : Carrier Route Sort : : Bar Code : : Temporary first line :X: Name (First + Last) :X: Title :X: Organization :X: Street :X: City + State + Zip : : Country : : Phone : : Notes Add these blank lines to label.. : 1: Pause after each page........... :N: N = No Y = YES SETTING LABEL MENU OPTIONS Set labels across to: labels can be purchased on sheets holding from one to four labels across. Enter here the appropriate number for the type you are using. The default is 1. Set label width to: labels come in many widths. Enter here the width of your label. The default is 2.7 inches. Page 7 Set left margin to: enter the column at which you want your printer to begin printing. The default is 0. Print (X) copies of each label: enter the number of copies of each label you want to print. The default is 1. Enter an X to print field: enter an X beside each field you want to print on your labels. The defaults are Name, Title, Organization, Street, and City+State+Zip. If you are a bulk mailer using Carrier Route numbers, place an X next to this item on the menu. Label Master 5.1c will print the carrier route numbers on each label above the name line. The temporary first line feature allows you to print Resident or some other ad hoc text of your choice. Add these blank lines to label: enter the number of blank lines you want to insert between labels. Use this option to adjust for different size labels, e.g., Rolodex cards. The default is 1. Pause after each page: enter a Y (Yes) or N (No) if you are using a sheet feeder and you want the program to pause after each sheet. If you answer Y to this question, you will be asked to specify the number of labels there are on each sheet. The default is N. When you complete this screen, you will be given the options to print your labels, print a set of test labels, print your labels sorted by 5 digit and 3 digit zip codes, or to return to the main menu. Page 8 MENU OPTION: SERVICES Select this option to display a list of important utilities. A - Select Records File - Label Master stores its records in files called LM5.DBF and LM5.DBT. You can use this feature to switch to records on drive A or B, or to switch to another hard disk directory. When you select this feature, a list of floppy drives and hard disk directories will appear. Pick the drive or directory you want. The defaults are A:, B:, and C:\LM5. NOTE: Please see the VIEW option below for information on how to add additional Label Master file locations. If you want to keep a separate mailing list on a floppy disk, just place a formatted disk in drive A or B, select the drive you want from the pull-down menu, and Label Master will automatically create the LM5.DBF and LM5.DBT files on the floppy disk. B - Reindex Files - Label Master uses automatically maintained files called indexes to keep your records in order by last name and zip code. Power outages, power surges, brownouts (voltage reductions), or other power-related problems affecting your system can adversely affect these index files without your knowing it. If your records ever seem to be out of sequence, just use this feature to rebuild the index files. Page 9 C - Check State/Zip Codes - use this feature to display or print a list of records with erroneous state/zip codes. D - Set Defaults - Use this feature to enable/disable certain features. E - Reports - Use this feature to print a variety of reports. F - Copy Records - Use this feature to copy your records to an ASCII text file, to a floppy disk, or to another file which you can name. G - Append Records - Use this feature to import other Label Master records, dbase records, or ASCII records into Label Master. H- Case Conversion - This option lets you convert your mailing address data (not the Notes, Phone, or Memo fields) to upper case and vice versa. The Postal Service prefers the addresses in upper case. Page 10 I - Search and Replace - Use this feature to find and replace any text in any field. J - Zip-Plus-4 Service - This feature allows you to take advantage of the U.S. Postal Service's free service whereby they will convert your five digit zip codes to nine digit zip codes. K - Select Printer - use this feature to tell Label Master what printer and printer port you are using. L - Form Letters - Use this feature to create a short letter. M - Select Date Format - Use this feature to select the date format you prefer. N - Delete Records - Use this feature to delete all your records. If you have set a filter with the F10 key, only those records meeting the filter condition will be deleted. If you have any question about doing this, please back up your records first. O - Communications - If you do not have a modem, this feature will not affect you. If you do have a modem, this new feature allows you to tell Task Master what COM port your modem works on and what your modem's baud rate is, call RKS Software's Bulletin Board, and call RKS Software's Remote Control tech support line. Page 11 MENU OPTION: VIEW Select this option to browse through the records of the main records database, the states/provinces database, the notepad database, and the Label Master 5.1c file locations database. The states/provinces look-up table is the database Label Master 5.1c uses to check the accuracy of the State/Zip code combinations in your records when you use option C on the Services menu. The Label Master File Location file contains the location of Label Master 5.1c files you want to maintain on floppy drives or hard disk directories. If you add Label Master 5.1c file location records to this file, be sure to precede any hard disk directory name with the drive designator, e.g., C:\CLIENTS. Do not place a \ at the end of the directory name. Any file location records you add to this database will automatically appear as choices when you select the Change File option from the Services menu. Page 12 FUNCTION KEYS F1 function key - these instructions. F2 function key - use this feature to edit the text in the memo field of the current record. You may enter any text you want. There is no limit. Press F10 to save any changes. Press Esc to exit without saving changes. F3 function key - Use this feature to select the way you want Label Master 5.1c to work with your records. F4 function key - use this feature to make a copy of the current record. F5 function key - use this feature to display a pop-up calendar. Press Esc to make it disappear. F6 function key - use this feature to print the displayed record on a single envelope. F7 function key - use this feature to print multiple mailing labels of the current record. F8 function key - use this feature to display your record count. Page 13 F10 function key - this is one of your most powerful features. You may use a Quick Query or a Super Query. Use the Quick Query to quickly specify a particular sub-set of records. Example: assume you maintain a mailing list containing Doctors, Lawyers, and Indian Chiefs, and have coded your records by placing in the Notes field a D for Doctor, L for Lawyer, and I for Indian Chief. To print labels for only the Doctors, you would press the F10 key, place a D in the Notes field, and press PgDn to finish. You would see a "Filter On" message appear on the screen. Print your labels and you will get labels for only the Doctors. Press the F10 key again to remove the filter. To print labels for all the Lawyers in New York, you would press the F10 key, enter NY in the State field and L in the Notes field. Press PgDn to finish, and print your labels. To print labels for those persons on your list who have Smith for a last name, live in California, and are Doctors, press the F10 key. Enter Smith in the Last Name field, CA in the State field, and D in the Notes field. Press PgDn to finish. Print labels. The Super Query allows you to build a more complex query condition, and save the query condition for repeated use. Any number of query conditions may be defined and saved. When you set a filter condition, everything you do conforms to the filter. To turn the filter off, just press F10 again.
