The schedule of work to be performed may be maintained when adding or changing jobs. @@HLPPRT Print Reports presents a menu of several reports which may be printed, displayed on the screen or sent to a disk file. When printing the reports, The computer will inform you of the size of paper needed and ask you whether the printer is ready. A 'No' answer to the printer ready question will abort the request for the particular report. While any report is being printed, you may press any key to stop printing the report. Doing so will force a printed message indicating the report was aborted prior to completion. @@HLPTIM Choose this menu option when you wish to work with Client Master File. @@HLPMTN General system maintenance is performed when you want to backup your data, change your company information, modify your printer specifications and change the comments, assign and task tables. @@HLPTUT The system tutorial is available to assist you in a better operation of the Job Scheduling System. Information about the special keys on your keyboard, the 'HELP' windows, and the maintenance and report processing are presented. The tutorial may also be printed. @@HLPADD Jobs are added to the Job Scheduling System by entering required data on the data entry screen. A Job Work Schedule may also be created and printed once the job has been entered. @@HLPCHG Jobs are changed (and completed) by this menu choice. The Job Work Schedule may be created or changed as needed. The Work Schedule may also be printed. @@HLPDEL Jobs are deleted from the system either by entering a date, or a job number. @@HLPVOD Jobs are voided by job number. A voided job will only appear on the completed jobs report. @@HLPCMTN Client Master File Maintenance permits adding and changing client information. @@HLPCPRT A listing of all clients is generated with this choice. @@HLPCLBL You may print mailing labels with your client's name and address. @@HLPCDIF Here, you may create a file which can be read by other programs for word processing and mailmerge functions. @@HLPCOMP The Completed Job by Assign report prints completed and voided jobs. Each individual's jobs are printed on a separate page. @@HLPALLA The three reports, 'Completed Jobs', 'In Process' and 'Worksheet' are printed by making this menu choice. You are prompted for the beginning and ending dates for the Completed Jobs Report, but there is no prompt for an individual worksheet. @@HLPALL A complete listing of all jobs, sorted by the computer assigned job number is printed. @@HLPCCLI The Completed Job by Client report prints completed and voided jobs. By entering a future date, say next Saturday's date, the report will indicate all jobs due by next Friday. @@HLPPSCH The Weekly Schedule prints a work schedule for an individual. You may select one individual or you may print a report for everyone. The standard report will print all tasks from today for the next seven days, although you may enter a beginning date and a number of days if you wish. @@HLPSBDAT Enter a beginning date for the schedule. If you press , today's date will be used as the beginning date. @@HLPSEDAT Enter the number of days to be covered by the report. If you press , the report will cover seven days from the date you just selected. @@BACKUP The information you enter is stored on your data disk. Backing up the data from time to time is essential for security reasons. If your computer and its data are no longer available to you (power failure, fire, theft) and you have the data saved elsewhere, the hours and hours of work that went into its creation won't be wasted. @@SETCOMP The name, address and phone number of your company are entered here. @@SETPRNT Information about your printer is requested in order to properly present report information. A table of commonly used printers is available for your selection. @@SETCOMM Throughout the processing of a job, it will find itself in different phases. You may wish to note the job is 'On hold' or 'At client for Review' or perhaps simply 'Needs Invoice'. A table of nine commonly used comments is available, eliminating some typing for you. You may change any of these at any time. @@SETASGN Up to 26 individual's names and departments may be maintained in the Assign Table, allowing you to use a single letter (A through Z) when referencing an 'assigned to' field. Either first names, last names or initials may be used, at your discretion, but consistency is important. If you were to use an 'assigned to' name of Sandy a few times, and then SJR (the same person) at other times, the reports which provide information relative to the person's name would be improperly presented. The department is used for departmental control. @@SETTASK Up to 26 task names may be maintained in the Task Table, allowing you to use a single letter (A through Z) when referencing a 'task description' field. This table might contain such things as 'Concept' or 'Design', or 'Paste up'. @@SHWAUTH The name, address and phone number of the author. @@H01 The information entered in the department field relates to a department or perhaps a partner within your organization that performs work for clients. The field may be left blank if your organization is not oriented this way. @@H02 The Client Name is the company or person for whom the job is being performed. It is your customer. @@H03 This is a description of the job. Possibly : PRESENTATION BROCHURE or LETTERHEAD DESIGN, or MOVING ANNOUNCEMENT, etc. @@H04 This is the date this job was received. @@H05 This is the date the job is to be completed. @@H06 The total you have budgeted to complete the job. @@H07 This is the date the job was actually completed. @@H09 The total spent on the job in order to complete it. @@H10 Enter the job number the computer originally assigned to the job. @@H11 Enter the Client Id. If the client is already in the master file, the Client Name field (next entry field) will be filled in from the master file information. If not, you may add the client at this time. Pressing when this field is blank will bypass the lookup in the master file. Clients may also be added while in the Client Maintenance section. @@HLPADCL The Client Id. you have entered is not in the Client Master File. You may add this client by answering 'Y'es. Answering 'N'o will allow you to change the Client Id. you just entered. @@HLPSIZE The computer is ready to print the report. Check to be sure the printer is turned on and ready to print. Also check that the correct paper is mounted and positioned at the top of the page. If you answer 'N'o to this question, the report will not be printed. @@HLPBDAT The Completed Jobs Report will select jobs with completion dates between two dates if you wish. Enter the beginning date here. If you simply press , all jobs will be selected. If you enter a beginning date, you will then be prompted for an ending date. @@HLPEDAT Enter the ending date for the selection of jobs to be printed. If you press , all dates will be printed after the beginning date you entered a moment ago. @@HLPPDAT The due date for all in process jobs will be compared to the date you enter. Any job due prior to this date will appear on the report. @@HLPRASSG Enter the 'assigned to' name if you want only one person's report printed. If you press , a report for everyone will be printed. @@HLPABORT If you respond with 'Y'es, the selected report will stop printing.
