GENERAL INFORMATION =================== PHONE-PRO keeps track of your personal "little black book" for you. Think of each person's entry as an index card in a box. On each card you enter the person's name, address, up to 4 alternate phone numbers, and 7 lines of notes about that person (or company). You can print the information out and use it to make a pocket-sized personal phone directory, or you can use it as an electronic lookup system. You may use your PGUP and PGDN keys to scroll through the cards in your data file, starting from the first entry. When you reach the end of the file, it will automatically wrap-around to the top. The HOME key will always take you to the very first entry in the file. END will automatically page through the file for you as you watch. To find a specific name, use PF6 (Find) or TAB (Speed Search). FIELD DESCRIPTIONS ================== Each piece of information on the card is called a field. The fields are: LNAME/FNAME The person or company's name. C/O An extra "name" line, comes in handy for businesses. ADDR 1, The person or company's mailing address, including ADDR 2, ZIP code. You have 2 lines of street address space. CITY, ST, ZIP PHONE Each card contains 4 lines for phone numbers. Put the number itself on the left, and enter a 10-letter de- scription in the parenthesis next to each number (ie, home, work, car, beeper). NOTES Each card has 7 lines of note space. The key can be any combination of letters, digits, spaces, etc. that appears somewhere in the card you are seeking. Then press ENTER for a Key Search or CTRL-ENTER for a General Search. General Search will locate your search key anywhere in the name or notes section of a card. Upper and lower case letters are the same for purposes of the search. For example, a key of 'aut' will match each of the following entries: L NAME F NAME NOTES ------------ ----------- ---------------- McNauten Frank Auto World Smith Joe works for Port Authority PPRO will scan through the file in order. Each time a matching card is found, PPRO will display the card and ask 'Is this it?' Answer 'Y' to stop the search, 'N' to keep looking. When the end of the file is reached, PPRO will report 'No matching entries found.' Key Search is a fast through the database index, instead of a full scan of the data file. To use Key Search, enter the first few letters of the Last Name you want to find, and hit ENTER. PPRO will display each matching card in order and ask 'Is this it?', just like a General Search. Key Search is fast because it is less flexible than General Search. Your search key must be the first few letters (up to 15) of the Last Name of the person you want. Upper and lower case are not important, but placement is. A search key of 'donald' will match Donaldson but not MacDonald, where General Search would locate both (and possibly others as well). SPEED SEARCH ============ PPRO also provides a Speed Search for finding names in the shortest possible time. Press TAB to start Speed Search, then start typing the last name of the person you are looking for. Each time you type a letter, PPRO finds the first record in the file matching what you have typed so far. When the name you want appears, stop typing and press the function key for the PPRO command you want to use, or press ENTER. If you have multiple cards with the same last name, you can press TAB and start filling the first name. BACKTAB or backspacing will take you back to the last name if you need to try again. If there is no key matching your latest Speed Search letter, it will be ignored. For example, if you have records starting with 'Smi' but not 'Smy', PPRO will blip and reject the 'y' during a Speed Search. ADDING OR EDITING CARDS ======================= When you select ADD (PF3) or EDIT (PF2), a highlighted block appears in the NAME space on the card. The block represents the length of that field on the card. You can use the following keys to edit your card: INSERT Toggles Insert mode DELETE Deletes one character under the cursor <- / -> Moves the cursor left/right 1 space HOME Moves the cursor to the beginning of the line END Moves the cursor to the end of the line CTRL <- Moves the cursor 5 spaces left CTRL -> Moves the cursor 5 spaces right ESCAPE Cancel changes to this line (if you really mess up) provided you haven't left the line yet Use the up and down cursor keys to move from field to field. When you are finished, press PF10 to save the new information, or PF2 to cancel all changes. PF9 will save the new card, then let you add another immediately. PLACING A PHONE CALL ==================== PHONE-PRO can use your Hayes-compatible modem to dial the telephone on your command. To call the person shown on the screen, press PF8 (CALL). A small window will pop up on the bottom of the screen showing that person's first phone number. Select the number you want by using the up and down arrow keys to rotate between the 4 numbers in the card. When the number you want is in the dialing window, press RETURN. PHONE-PRO can detect a busy signal from your modem and will redial every 15 seconds until you press a key. If you want to dial a number that is not in the card, press PF1 for Manual dialing, type in the phone number, and press RETURN. NOTE: PHONE-PRO is initially configured to use COM1 for dialing. If you always expect to use COM2, use PPROINST to change the default setting. Before dialing, you may edit the phone number using the normal set of editing keys. The changes will NOT be permanent. This allows you to add an area code or other prefix if you are out of town. EXTENDED DIALING CODES ====================== Like many terminal programs, Phone-Pro supports extended codes for long distance services, dialing with Centrex, etc. Each code may contain up to 16 characters. The code may include digits, modem command letters, and other dialing codes if need be. All of the following are valid codes: 950-0554 (Dials a local number) a,,,,144064 (Output code 'a', pause 8 seconds, then dial in 144064) 8002220550,T (Dial an 800 number, pause 2 seconds, then switch to Tone dialing) An extended dialing code can be placed anywhere in the phone number you wish to dial. There is no limit (other than the limit of 16 characters each) to the number of codes you can "chain" together to create longer sequences. The codes are set and modified using the PPROINST program. Their current values are displayed in the right-hand window when you enter DIAL mode. PRINTING ======== PPRO does not print your phone directory; the companion program PPRT is the printing module. When you press PF9 (Print), PPRO calls DOS to run the printing program. In order to do this, the file COMMAND.COM must be available in the place identified by the environment string COMSPEC. PPRT has 6 menu options. FULL DIRECTORY PRINT prints a phone book containing at least one page per letter of the alphabet, even if you have no cards to put on it. ABBREVIATED PRINT skips over any letter that would be a blank page (no entries). SELECTIVE PRINT allows you to reprint any section of your book (just 'J', for exam- ple) for convenient updates. DATE-SENSITIVE PRINT prints only cards that have been modified since a date you specify (by default, the date of your last print operation). KEY SEARCH AND PRINT will only print cards that contain a search key you specify (such as 'XMAS' for automated Christmas card labels). CHANGE PRINT OPTIONS allows you to customize the output of PPRT to fit the book size or labels you like to use. Press ESCape at the PPRT menu to return to PPRO. RUNNING DOS COMMANDS ==================== When you press PF5 (DOS), PHONE-PRO will suspend itself and load an extra copy of the DOS command processor. You may perform any DOS functions you wish, but be careful not to load or remove any resident programs (including PRINT.COM). When you've finished with DOS, type EXIT to return to PHONE-PRO. PACKING THE DATABASE ==================== PPRO uses an indexed access method to keep track of where your data is in the file. When you delete a card, its alloted data space is marked available, but the data is still there. The PF7 (PACK) option sorts and rewrites your data file, so that any unused data space is recovered. There is no need to run PACK very often, but you can reduce the size of your data file and speed up searches by running PACK regularly. >>> END OF HELP TEXT <<<
