@@ "Contact Plus" is a contact management system that keeps track of your important business contacts by providing a personal detailed calendar for each of your important contacts. A history of phone calls, correspondence, and notes are kept for each contact in an easy to use format. Contact Plus functions as an electronic Rolodex(R), keeping track of appointments, tickler dates, phone calls (both outgoing and incoming) and form letters. It also includes an autodialer, allows data search, and permits you to classify your contacts in a variety of ways using 24 customized categories. Contact Plus also serves as a mail list manager. You can create customized form letters and send them out to contacts of your choosing. Contact Plus works best on hard disk equipped systems although laptop computers equipped with dual floppy drives work well. Since Contact Plus keeps such comprehensive records, each contact in the database consumes about 3K of disk space. Thus, roughly 200 contacts may be stored on a single 720K floppy diskette. Contact Plus locates your important contacts quickly either by last name, company name or by one of the two user defined index fields you specify. When searching for a particular contact, you may enter the first few characters of the last name, company name or user defined field. You have instant access to the MicroStar word processor while viewing your information. Press the F6 key to access the MicroStar word processor. A template file will generate the salutation and starting text of the letter you wish to enter. You may also wish to use your word processor or editor as long as it has an ASCII mode. To record a new note while in the CONTACT MENU, press the "F7" key. A new date/time stamped note will be added to the contact. Each contact can be tagged with up 15 of 24 user selectable categories. Categories are useful to classify your contacts. Three user defined DATE fields are provided with each contact; typical uses are first, last and next contact dates, proposal dates, demo dates, or birth dates. Six user defined fields are also available for customization. Typical uses could be "SALESPERSON", "TERRITORY", "PRODUCT", or "SIC CODE". The first two user defined fields are index fields meaning that you can sort and recall your contacts based on the index field currently selected. Separate databases are available. Vendor contacts can be kept in one database and client contacts in another. The possibilities are solely up to you and limited only by disk space. Contact has an "AUTODIAL feature" that will work with Hayes compatible modems. While in the contact menu press F3 or F4 to dial one of two phone numbers. You can simply pick up the phone at any time. You will need to press any key after you pick up the receiver to release modem control of the phone. Contact Plus will also record your incoming calls. Simply bring up the record for the contact by entering the first few characters of the last name, then press "F9" from the CONTACT MENU and the incoming call will be logged. Set up the DOS variable "PLOG" to log all the calls to an output file in a tabular format. By setting up the variable : "SET PLOG=phone.hst" at DOS, all calls (both incoming and outgoing) will be stored in the file "phone.hst". The "ESC" and "TAB" key are used to exit menus and stop reports at any time. These keys indicate that you are finished looking at the display on the screen. This key is used GLOBALLY through the system as an escape hatch. "It is ALWAYS available." The "LEFT ARROW Key" will move left one field while you are updating a record. The "RIGHT ARROW Key" will move right one field while you are updating a record. The "UP ARROW Key" is used to move up one field if you are in an update mode or the menu options are showing. If you are in the contact menu it will move to the prior record. The "DOWN ARROW Key" is used to move down one field if you are in an update mode or the menu options are showing. If you are in the contact menu it will move to the next record. The "F2" Key (FUNCTION 2) is used to make a copy of the screen. Each time "F2" is pressed, the current screen is appended to the file "screen.sav" in the current directory. This has the advantage over pressing SHIFT PRTSCRN, in that screens are paginated correctly. The "F5" Key (DOS) will allow you to escape to DOS to run a different program, perhaps a spreadsheet or a DOS program. You may run any program other than a DOS program from the "F5 key" by setting the COMMAND parameter in the SYSTEM PARAMETER MENU. Details are presented in the documentation. The F5 key can be pressed at any time. The "F6" Key (WP) will invoke the word processing system and will fill in fields from a template file, thus relieving you of having to enter the name, address, city, etc. These fields will be filled in automatically. The "F7" Key (NOTES) will display a popup window with the current date and time allowing you to make any number of notes concerning each contact. The "F8" Key (VIEW) will display a list of contacts allowing you to browse and selectively tag individual contacts for later mail/merge or reports. The "F9" Key (INCALL) will record an incoming call while in the CONTACT MENU for the displayed contact. The "F10" Key (POPUP MENU) will display a popup menu for many of the prompts in the CONTACT MENU allowing one key access to most fields including the salutation, title, city, state, zip, country and user defined fields. Use the "MOUSE" (if you have one) as the arrow keys. The "LEFT MOUSE" button acts as the "ENTER" key and the "RIGHT MOUSE" button acts as the "ESC" key. @@ Enter 'y' to save the changed information on this page. Enter 'n' to discard the changes. @@ Use the arrow keys or enter the first character of a pre-existing database in the current directory. The size in bytes and date of the main data file "contact.dt" is displayed. The old database will be closed properly and the new database will become active. @@ Enter the name of a new database. It must not already exist. Use up to 8 characters. Do not enter a period in the name. Example: To create a customer database, call it "CUST". This option must be run before trying to copy or merge records from one database to another. @@ The database specified could not be opened. Either the database has been damaged in which case the CFIX (database recovery) command must be run, or the database doesn't exist in the current directory. @@ Enter: "L" - last name "C" - company name "Z" - zip code or the first letter of one of the user defined fields. The index will be changed so that you will be able to recall the contacts by last name, company name or one of the two user defined fields. After selecting the index you may abbreviate the name when searching for a contact, for example: To search for "Victory Oil", set the index to "c" for COMPANY and enter "vi" at the prompt. To search for "Sam Smith", set the index to "L" (last name) and enter "Sm" at the prompt. Contact Plus will place you at the first match of "Smith" in the database. "SM", "Sm" and "sm" are identical. Contact Plus doesn't pay attention to upper or lower case when searching. @@ Enter "y" if you wish to add this contact permanently to the database. Otherwise enter "n" - the contact will not be added to the database. @@ Enter "y" if you wish to save the changes made to this contact permanently. Otherwise enter "n" - the changes will be abandoned. @@ Enter the first few letters corresponding to the index that you are searching. For example, if the index is set to LAST NAME and we wish to find John Doe. You would enter "DOE" at the prompt. If the index is set to zip code and you wish to find a zip code of 98766, simply enter "98766" at the prompt. @@ Use the "UP" and "DOWN" arrow keys to move the highlight bar from contact to contact. While positioned on a contact, you may dial or call up the notes or word processor. The "LEFT" and "RIGHT" arrow key will pan different fields on to screen. To search for a contact enter "S". You will be prompted to enter a search string based on the current index. To change the current index, enter "I". You will immediately see the contacts being resorted by one of the following fields: last name company name zip code user defined field 1 user defined field 2 @@ Enter "y" and "ALL" fields from the currently displayed contact will be set in the new contact record -- except the first name and last name, these will be blanked out. This is especially useful when entering a batch of new contacts within the same company. @@ Enter "y" if you wish to "PERMANENTLY" delete this contact from the database. Otherwise enter "n" - the contact will remain in the database. There is no way to undelete a contact. @@ Enter the salutation. Examples : Mr. Mrs. Dr. Enter "ESC" to exit. To erase a field, press the space bar once at the start of the prompt then press the "ENTER" key. Press the "HOME" key to set the "home position" on any one of the fields on the HEADER PAGE. This allows rapid updating of any field in the header page. (See the manual) The mail/merge code for the salutation is "*sa". @@ Enter a miscellaneous memo about this contact. A reference to the contact's product line, or a note on the first contact would be appropriate here. The mail/merge code for the memo field is "*me". @@ Enter a character string designated by the prompt. This is one of six fields that are user defined fields in Contact Plus. The first two user definable fields can be sorted. The remaining four user fields can only be selected in the SELECTION MENU. See the USER PARAMETER MENU to change the labels for each user defined fields. The mail/merge codes for the user defined index fields are: user field 1 - "*u1" user field 2 - "*u2" user field 3 - "*u3" user field 4 - "*u4" user field 5 - "*u5" user field 6 - "*u6" @@ Press "F10" to call up the popup calendar then you can use the UP, DOWN, LEFT, and RIGHT arrow keys to move between dates on the calendar. The mail/merge codes for the dates are "*w1", "*w2" and "*w3". If you clear out the popup calendar you may enter dates in a variety of formats including date arithmetic as shown on the next page. Press "ENTER" to change the dates displayed. After pressing "ENTER" the arrow keys will change the months. @@ 15 different tickler dates are kept track of on this page. Use the tickler fields for callbacks, appointments, to-do items, birthdates, anniversaries, etc. Use the "DONE?" field as an indicator of whether the tickler was accomplished, not done or doesn't apply to the tickler. Don't worry about the order you insert the ticklers since Contact Plus automatically sorts the ticklers with the earliest dates appearing at the top of the screen when you press the "ESC" key to save the changes. The tickler memo will appear in the 1 month calendar page. The date in the 6 month calendar will blink. To add a new tickler: 1) Press the "ENTER" key twice 2) Enter the appropriate information To add a new followup schedule: 1) Press the "ENTER" key. 2) Enter "a" or "b" for follow up schedule A or B 3) The follow up dates will be based on an anchor date that you specify. To delete a tickler: 1) Press the "ENTER" key twice. 2) Use the cursor keys to position the highlight bar over the TICKLER MEMO field to delete. 3) Press the SPACE BAR then "ENTER" to delete that tickler. @@ This page is a log of the last "30" phone calls made to this contact. By pressing "ENTER", you can scroll through each phone call. Only "15" phone calls can be viewed at any one time. Press "ENTER" twice to change the MEMO and STATUS fields of the entry at the top of the screen. Use the UP, DOWN, PAGE UP, and PAGE DOWN to scroll through the phone calls. The oldest (30th) call will be discarded when a new phone log is added. Even if you aren't using a modem, you can still keep track of the time spent on the phone. Just dial the phone as you normally would do then press "F3" or "F4" (you need to record the phone number in the PHONE fields for this to work). Contact Plus will then display the popup timer - allowing you to keep track of time spent on the phone. To log time spent on incoming calls, after receiving the call, search for the contact by entering his/her last name at the KEY PROMPT. Then press the "F9 key". The call will then be logged. @@ Select one of the form files using the ARROW keys or press the first letter of the form desired. Press the PAGEUP and PAGEDOWN keys to view the next and previous pages. The form files must end with ".frm" and must be in the FORM FILE directory. If a FORM FILE directory is not specified in the "SYSTEM PARAMETER MENU", the current contact directory will be searched. The form file will be used to create a letter to this contact. The file created will be named using the first 8 characters of the last name and first name with a 3 digit sequence number as an extension. For example, the first letter to Sam Smith would be "SMITHSAM.001". @@ Enter a short comment next to the most recent call. Press the SPACE bar then the "ENTER" key to delete the comments. @@ Enter the contact's last name. The last name is used as an "INDEX field" meaning that you can search and sort the database using this field. If you don't know the contact's last name, enter "-". You can fill in the last name later. The mail/merge code for the last name field is "*ln". @@ Enter the contact's first name here. The mail/merge code for the first name field is "*fn". @@ Enter a title for the contact. Examples: Vice President Owner/operator The mail/merge code for the title field is *ti. @@ Enter the address of the contact. If the address spans two different lines or there is not enough room on one line, use both ADDRESS1 and ADDRESS2. Example: ADDRESS 1: 1580 Main Avenue ADDRESS 2: Suite 120 Enter "ESC" to exit. For example, if your insurance agent had a number for claims and you wanted that in place of the phone number field, you could simply enter: PHONE 1: Claim 444-2321 Make sure the comment doesn't contain an 'X', as Contact Plus ignores all digits after an 'X' or 'x'. Note also that you can signify an extension by making an 'X' in the number. Contact Plus will ignore all digits appearing after the 'X'. For example: PHONE 1: 255-4433 x444 Contact Plus will dial "2554433" for you. Contact Plus normally ignores all non-numeric characters when autodialing for you, except for the "," character. A comma "," will cause the modem to pause for two seconds. The mail/merge code for the phone numbers are "*po" for phone one and "*pt" for phone two. @@ Enter the name of the contact's company. This is an INDEX field. If you wish to search for a particular contact by company, you can simply change the index to COMPANY. Typing in the first few characters that distinguish the company at the prompt will bring the contact to the screen. For example: to search for "Joe Soroche of Atlantic Associates: you could enter "i" to change the index then "c" to change the index to company name. Enter "atl" and the record would be retrieved. Keep in mind that searches for the contact by company name are not case sensitive. Therefore you can enter "ATL", or "atl". Both will match with "Atl...". Enter "ESC" to exit. The mail/merge code for the company is "*co". @@ Enter the category or categories that are applicable to this contact. Each contact may belong to more than one category. For example, if the contact is in CATEGORY A, F and G, enter "afg" and the contact will be placed in three categories. The selected codes will be highlighted and marked with an asterisk "*". The popup window only appears when the highlight bar is directly on this prompt. A contact may belong to up to 24 different codes or categories. Each category is accessed from the MAIN MENU under the EDIT CATEGORIES MENU. Enter "ESC" to exit. @@ This page is a graphic view of all calls, letters and ticklers over the last 13 months. It is useful to get a visual picture of the number of times the person has been contacted over the last year. Press the "ENTER" key to scroll through dates. @@ This page displays the previous 15 phone calls, letters, and ticklers in chronological order. The most recent date is at the top of the page. Busy or No answer phone calls are not listed. This is a display page only. The "ENTER" key will not change the fields. @@ This page records the last 15 letters/memos sent to or received from this contact. Fill in the DATE, STATUS and MEMO fields. The STATUS field can be "received" or "sent". To add a new letter: 1) Press the "ENTER" key. 2) Press "A" to add a new letter (the oldest will be discarded) 3) Enter the date and the memo. To edit an existing letter: 1) Press the "ENTER" key twice 2) Position the cursor over the field to edit. To delete the top letter: 1) Press the "ENTER" key 2) Enter "D" to delete To clear ALL letters on the page: 1) Press the "ENTER" key 2) Enter "c" at the prompt @@ It is from this page that you can add, delete, and change the contact entries. As with all the pages, press the UP and DOWN arrow keys or enter the first few characters of the last name to access each contact. At the bottom of the page is the prompt "PAGE:" with a list of all the pages that can be viewed. Press the LEFT and RIGHT arrow keys or enter the first letter of one of the pages followed by the "ENTER" key to access the different pages. "a" - add a new contact "d" - delete an old contact "i" - change the index "F3" - dial phone number 1 "F4" - dial phone number 2 "F5" - run a DOS command "F6" - run your word processor "F7" - enter a note "F8" - enter the VIEW screen "F9" - log an incoming call "ENTER" - modify the contact "DOWN ARROW" - view next contact "UP ARROW" - view previous contact "SEARCHING:" Enter the first few letters of the word for which you wish to search. Entering "sm" will search the database for the first occurrence of a key field starting with "sm". If there is an "Ed Smith" in the database, it will retrieve "Ed Smith" instead of "Sam Smith", as "Ed" appears alphabetically before "Sam". Press the DOWN arrow key to the next record: "Sam Smith" Note: Contact Plus does NOT make a distinction between upper and lower case names. I.e., there is NO difference between Smith and SMITH and smith. The other indexes (Company name and both user defined index fields) operate similarly. "PHONE CALLS:" After pressing F3 or F4 you will be prompted to press a key to release modem control of the phone. Pick up the receiver then press any key. A phone message prompt will appear prompting you for the outcome of the call ... Was a message left? Was there a busy signal? Did you get through? Was there no answer? If "L" or "O" is pressed a timer window will popup with the starting time of the call and the elapsed time. If "B" or "N" is pressed a log in the phone call page will be added to the top of the page with BUSY or NOANSWER. "INDIVIDUAL LETTERS:" Press the F6 key to access the word processor. Before accessing the word processor, make sure that the name or path of the word processor is stored under the "SYSTEM PARAMETER MENU". Also, you must create a template file (it may be blank) in which Contact Plus will fill in the proper fields. For a sample template file, see the enclosed files ending with ".frm". The template files must end with the extension "FRM". "NOTES:" Press the "F7" key to record a note. The "F7" key is accessible from anywhere within the CONTACT MENU PAGES. A new note can be added. The date and time will automatically be set in the note. You can store an unlimited number of notes for each contact. "UPDATING A CONTACT:" After pressing the "ENTER" key to update the fields of the contact, use the HOME key to set the "home position". The home position can be used to quickly update a particular field of the record. For example, to update the "MEMO" field of all contacts, one after another, 1) Press the "ENTER" key to update the contact record. 2) Position the cursor over the "MEMO" field. 3) Press the "CTRL-HOME" key. Subsequent changes will position the cursor on the MEMO field rather than appearing at the top of the screen in the SALUTATION field. @@ "CONTACT MENU" Add, delete, update and search for contacts from this menu. Send letters at the press of a key using the MicroStar word processor. Dial the phone or take incoming calls. View the calendars and setup appointments. Record notes and keep track of letters. Press the "ESC" or "TAB" key to exit. @@ "CONTACT REPORTS" Print listings of contacts from this menu. Sort and search the database from this menu. @@ "MAIL/MERGE" Print custom form letters, Rolodex(R) cards, mailing labels from this menu. Also use this menu to generate ASCII export files for use with other programs. @@ "EDIT CATEGORIES" You can edit all categories from this menu. Choose from 24 different categories. Each category can be used to categorize the contact. Contacts may be in multiple categories. @@ "ALTER THE DATE" Change Contact Plus's idea of the CURRENT date. The CURRENT date is displayed at the top right corner of the screen and reports. It is important that the correct date and time are set before starting up Contact Plus. @@ Enter one or more category letters here. For example, if category A is the Western Region, category B is the Northern Region and you wish to select all members of both categories A and B, type "AB". To select only those in category A enter "A". Enter ".", to select ALL contacts in ALL categories. @@ Those contacts with reminder dates falling within the week (today thru seven days from today) will be printed as well as the reminder memo. @@ Those contacts with tickler dates matching the current date of today (upper right corner of screen) will be printed as well as the memo attached to each tickler. @@ Each contact name is printed along with the address, company name and phone numbers. @@ Each note associated with each contact is printed. A subset of the notes by date may be printed using the SELECTION MENU. @@ Each contact is printed along with the following data: o Date and time of phone call o BUSY, OK, NOANS, LEFTMSG or INCALL o A phone message as recorded on the PHONE LOG PAGE. @@ Each contact is printed along with the following data: o Date of letter o RECEIVED or SENT status o A short note as recorded on the LETTER PAGE. A subset of letters by date can be printed as selected in the SELECTION MENU. @@ "USER REPORT" List out both user defined INDEX fields and the name of the contact. @@ "CONTACT PROFILE" Lists out the contents of the HEADER PAGE, TICKLER PAGE, PHONE PAGE and LETTER PAGE and notes in a convenient full page format per contact. This report can be kept in a loose leaf binder. @@ "SEARCH MENU" Search the MEMO FIELD, NOTES, TICKLER NOTES and PHONE notes fields from this menu. Exact spelling is not necessary when searching for strings and keywords. Any match will be printed. @@ "TICKLER REPORT" Generate a list of all ticklers NOT DONE, or DONE, or N/A within a certain set of dates. This is different from the TODAY TICKLER and WEEK TICKLER reports in that you can specify which ticklers will be printed. @@ "PHONE LISTING" Generate a easy to read listing of phone numbers of each contact selected. @@ "ZIP/CITY/STATE REPORT" Generates an easy to read listing of the contact and his/her city/state/zip code and country. @@ "CATEGORY REPORT" Lists each contact and all categories that the contact belongs to. @@ "WORKSHEET" Print out a worksheet for notations. Each contact is printed along with blank lines for notes. @@ "MEMO REPORT" Lists each contact and the respective MEMO field. @@ DATE REPORT Prints out each of the 3 user defined date fields. @@ Each form is a template enabling you to send out customized form letters to a large group of people. As each form is printed, a record of the date and name of form is saved in the LETTERS PAGE for each contact. Place the highlight bar over one of the template files and press F6 to edit that template. Each form must be an ASCII text file. I.e. if you are using WordStar - use nondocument mode, WordPerfect users should use the TEXT/OUT SAVE function. If you are using MicroStar, the file is automatically saved as an ASCII text file. Examples: Category A: Western Category B: Southwest Category C: Northern Category D: bananas Category E: eggs @@ If you have an "EGA" or "VGA" card and monitor and wish to display "43" lines of text for the EGA and "50" lines for the VGA monitor during the report browse and through the VIEW screen, select "yes" at the prompt. This option only works for computers with EGA/VGA monitors. @@ If you have a Microsoft mouse installed in your system answer "yes" here. Contact Plus will then enable you to use the mouse in addition to the cursor keys. The "LEFT" mouse button will act as the "ENTER" key and the "RIGHT" mouse button as the "ESC" key. If the mouse movement is too fast, set the SPEED parameters to large numbers (1 .. 99). @@ Enter a number from "1 ... 99" as a measure of how mouse sensitivity. Higher numbers will slow the mouse down. This "X-SPEED" parameter will adjust the sensitivity of moving the mouse from "right to left". @@ Enter a number from "1 ... 99" as a measure of the mouse sensitivity. Higher numbers will slow the mouse down. The "Y-SPEED" parameter will adjust the sensitivity of moving the mouse on "up and down" movements. @@ Enter "n" if you don't have a modem attached to your serial port. Enter 1, or 2 if your modem is attached to COM1 or COM2. Contact Plus currently works with Hayes compatible modems only. @@ Enter "m" if you have a monochrome screen and the screen isn't very clear. Enter "c" if you have a color screen. @@ Type "y" to turn on Contact Plus's error bell - it will beep at you if you make an input error. Type "n" to turn off this bell. @@ This field allows you to specify how often you desire to "sync" the database. Contact Plus's internal file structure needs to be physically updated occasionally. The smaller this number is, the more often the database will be "SYNCED". Of course, small values for the sync will slow Contact Plus down when adding many entries to the system. When entering many contacts into the database, you may wish to set it to 10. After entering the contacts, for maximum file integrity, set it to 1. Contact Plus automatically sync's its files when you exit. Be sure to exit Contact Plus by pressing the "ESC" key and answering "y" to the exit prompts. "DO NOT" exit Contact Plus by turning off the computer or pressing "CTRL-ALT-DELETE". This may destroy the index files in which case you will have to use the "CFIX" program to recover the index files or reload all your data from scratch. It is advisable to make backups of the system after making significant changes. @@ If you experience a snow or sparkle effect on the screen. Enter "y" to this question. Contact Plus will try to limit the snow effect. This may occur on certain old CGA monitors. @@ The "printer end-of-line" is used to control the printer output at the end of the printed line. There are 4 options to set depending upon your printer. You may have to do a little bit of experimentation with this to get it right. Once it is set correctly, it will not have to be changed (as long as the switch settings on the printer do not change). Option 1 newline character 2 carriage return character 3 newline then carriage-return character 4 carriage-return then newline character 1) Output is double spaced - try setting option to "cr". 2) Output is overprinting or printing on one line, try setting the option first to "nl" and if that doesn't work, try out the options "nl/cr" or "cr/nl". 3) Output is jagged like: This is an example of a jagged line. Try changing option to "nl/cr" or "cr/nl". @@ Press any key to continue to the next page of the report, press "ESC" to stop the listing. @@ Press "ENTER" to see all reports on the "screen". Select the "printer" to send the reports to a printer - directly. Select "capturefile" to send the output to an ASCII file. If the file exists, the output will be appended to the file. Examples: If you want to select a single record, "SmithJoe", enter "l" for last name selection at the "Name selected" prompt. Then at the "From name" and "Thru" prompts enter "SmithJoe" and "SmithJoe". Contact Plus is NOT case sensitive, so "smithjoe" will do as well. To select all contacts with last name starting with "r", enter "r" at "From name" and "r" at the "Thru" prompts. To select all contacts within certain zip code areas, enter "z" for zip code and enter "87" thru "88" at the range fields. To select all contacts in a certain city, say Los Angeles, enter "Los Angeles" in both FROM and THRU fields. @@ Enter the starting name of the field you want to select. For example, if we want to print out a list of contacts with last names from "a" to "g" enter "a" in the From name field, and enter "g" in the Thru name field. If the zip code field was selected, enter the first few digits of the starting zip code. @@ Enter the ending name in alphabetic order for this field. @@ Enter "1", "2", or "3" for the user defined dates respectively. Enter "n" for no selections and ALL contacts will be printed. Contact Plus will print those contacts whose dates fall within a certain range. For example, if one of the date fields is specified as a NEXT CONTACT date, we might wish to select those individuals we need to contact tomorrow, or next week or next Friday or next month. @@ Enter the starting date for selection. Since Contact Plus makes extensive use of the date and time, it is important that the system date and time be correctly set. Use the UP, DOWN, RIGHT and LEFT arrow keys to move from date to date. Press "ENTER" once you have selected the desired date. Press "ESC" to enter the date manually. Both the date and time are read from the computer when first starting up. The quotes in the examples that follow are not to be entered into Contact Plus, they are there to highlight the proper response when entering dates into Contact Plus manually. Examples: To select a date of Nov 23, 1989 Simply enter: "23Nov89", or "112389". If the current year is 1989, simply enter the month and day. If the current month is November as well, only enter "23". Shortcut examples (using date arithmetic): Today: "." To change the date to tomorrow: "+1" Last week: "-1w" 1st of this month: "1" Last day of last month: "1-1" Next Friday: "+fri" 2 weeks from next Tuesday: "+tue+2w" @@ Enter the ending date for selection. Press the "ENTER" key after choosing the selected date using the arrow keys. @@ Enter "y" if you have finished choosing the sort and selection criteria. The reports will now be sent to the screen or printer. Enter "No" or "ESC" to go back to the previous menu. Press "ENTER" or "Yes" to print. @@ Set this field if you want to speed up the process of adding new entries to Contact Plus. When you type in "a" at the CONTACT menu header page, the CITY, STATE, ZIP and COUNTRY field will automatically be set to the default. @@ Enter "t" if your telephone is equipped with a tone dial phone. Examples: Thank you note Notice of deposition Bill payment When the F6 key is used, this field will contain the name of the template file - CONTACT.FRM. @@ Enter the name of the file where this letter is stored. This field is set automatically when the F6 key is pressed. @@ Enter a name for the appropriate template file. The names correspond to the TEMPLATE FILES in the CONTACT MAIL/MERGE MENU. If a template name is entered and you choose to print the form or send it to a capture file, then this name will be automatically recorded on the LETTER PAGE with the form name in the MEMO field. @@ Enter the label for the user defined field. You may customize this field in any way that suits your particular application. The first two user defined fields are character string fields that can be sorted and searched on. User defined fields 3 through 6 cannot be sorted. For example, we can choose "REGION" as one of the fields. Then we can sort and select the contacts by the REGION field. Another example would be "SSNO" for social security number. The contacts can then be sorted and selected by social security number from any one of the PAGES under the CONTACT MENU. @@ Enter your name or company name here. Your company name will appear at the top of the page in all reports and screens. @@ Enter the path name of the directory where the form files are stored. The form files are used with the word processor as specified in the WORD PROCESSOR field. c:\contact\template\ You will need to create the directory before using the DOS MKDIR command as follows: "CD \CONTACT" <- go to the proper directory "MKDIR TEMPLATE" <- create the template directory Each form file in the form directory should end with the extension - ".FRM" The form file will look something like: +-------------------------------------+ | *sa *fn *ln | | *a1 | | *ci, *st *zi | | | | Dear *fn, | | blah blah | +-------------------------------------+ Pressing the F6 key will do the following: 1) Contact Plus will read the form file and make the correct substitutions for the fields -- "*sa" - salutation "*fn" - first name "*ln" - last name etc. Refer to the documentation for a list of ALL fields available. 2) The substitutions will be placed in a file with the name "smithsam.001" where the first part of the file name is the last and first name of the individual (up to 8 characters) and the extension is a 3 digit number bumped up everytime a new letter is sent. The next file would be "SMITHSAM.002." 3) The word processing program as specified in the WORD PROCESSOR prompt will be started with the name of the file just created. "ms \contact\letters\smithsam.001" The form files must be stored as ASCII files for most word processors. WordPerfect is an exception; the form files that you create with WordPerfect are compatible with Contact Plus and need not be stored in TEXT format. @@ Enter the full path name where the letters created using the F6 key will be stored. For example, if you wish to store letters in the subdirectory, "c:\contact\letters" enter the full path name here. You should have previously created the letters directory using the DOS "MKDIR" command like so: "CD \CONTACT" "MKDIR LETTERS" The form file will be searched for in the path you specify. If the form file doesn't exist in the path, the current directory will be searched. The form file must end with ".FRM" The word processor as specified in the WORD PROCESSOR prompt will be called with the path name and created file. For example, when the F6 key is pressed: 1) The form file "APOLOGY.FRM" is chosen. 2) A new file - SMITH.001 is created in the directory "\corresp\contact\letters"using the fields in APOLOGY.FRM as a template. 3) The word processor is called: "ms c:\corresp\contact\letters\smith.001" @@ Enter the full path name of the word processor, or simply the name of the word processor if it is already specified in the PATH. For example, to enter the MicroStar word processor you would enter: WORD PROCESSOR: "ms" You could also specify the full path name of MicroStar. You would enter it thus: WORD PROCESSOR: "c:\contact\ms" Do not enter any file name arguments here. Contact Plus will automatically call up the word processor with the appropriate file name as the first commandline argument. The word processor will be called up when the F6 key is pressed. You do not need to specify the ".EXE" or ".COM" portion of the file name. @@ Enter a label for the date field. Typical choices could be: first,last,next contact dates proposal date invoice date demo date birthdate @@ The following keys will scroll through the dates: "Up Arrow" - Previous 6 months "Down Arrow" - Next 6 months "Left Arrow" - Previous month "Right Arrow" - Next month "Home key" - This month You are limited to scrolling through 20 years (10 years into the future and 10 years in the past). The bell will beep when the limit is reached. @@ Use the UP, DOWN, RIGHT and LEFT arrow keys to select a tickler date for this event. Once the date has been selected, press the "ENTER" key. This memo will appear in the 1 month calendar page. To delete a tickler, press the SPACE bar followed by the "ENTER" key in this field. "N" - tickler is not done yet "A" - not applicable By separating your tickler dates this way you can list out all outstanding items needed to be accomplished, thus keeping you on track. @@ Enter a short line giving more information than is available in the ten character description. The ten character description will appear in the 1 month calendar. The F10 key will activate the POPUP MENU. @@ Enter one of the following options: "N" - no answer "B" - busy "I" - incoming call "L" - message left "O" - call successful "ok" The "N", "B" and "L" keys will clear the elapsed time field. @@ Enter "Y" if you have an IBM/EPSON compatible printer. If you do, when F2 is pressed, Contact Plus will save the screens using the line drawing character set instead of dashes "-", plus symbols "+" and pipe symbols "|". Your saved screens may look more attractive using this option. If the line drawing characters appear as a string of MMMMMMMMMMMM's, you will want to enter "n" at this option. To see if it works on your printer do the following: 1) Set this option to "y" 2) Discard previous saved screens 3) Call up a calendar page 4) Enter F2 to save the screen 5) Print the saved screen 6) Check the printed output @@ Enter the local area code. This area code will be compared with the area code being dialed using the F3 or F4 key. If the area code matches, then the call is treated as a local call and the area code will NOT be dialed. If the area code doesn't match, then the call is a long distance call and the long distance prefix will be dialed in addition to the full number including the area code. @@ Enter the long distance dialing prefix. If a pause needs to be inserted to the dialing sequence, insert commas ",". Each comma inserted adds a two second delay. To delete the prefix, press the SPACE BAR then the "ENTER" key. @@ Enter the local call dialing prefix (if any). Typical local call prefixes would need to dial a 9 then a pause to get out of the building or office. Enter comma's to delay the modem. Each comma adds 2 seconds to the delay. #p Example: "9,,," Dial "9" then pause for "6 seconds". To delete the prefix, press the SPACE BAR then the "ENTER" key. @@ Enter "Y" to clear out each entry on this page. Press "ESC" or "n" to abort the clear. @@ Enter the name of the program you wish to run when the F5 key (DOS) is pressed. If the program is in your search path, it will be run just as if you typed in the command at the DOS prompt. You must first press "ESC" then save the change before the new command will take effect. If the program is NOT in your search path, enter the full path name of the command here. Leave the field blank to simply run DOS. TO blank out the field, press the SPACE bar then the "ENTER" key. When the program finishes, you must press a key to return to Contact Plus. @@ Enter one of the following letters: "O" - call was made ok "N" - no answer "B" - busy signal "L" - left a message "D" - didn't call at all "I" - incoming calls "S" - no selection made Those calls that fall within the date range specified in the "FROM" and "THRU" fields that match the criteria chosen will be printed. For example: to search for all calls with busy signals for today enter "b" at the prompt and enter "." in both FROM and THRU fields. To search for all contacts NOT phoned, enter "d" and fill in the appropriate FROM and THRU date fields. Enter "ESC" to print the report. @@ Enter one of the following: "D" - ticklers marked DONE "N" - ticklers marked NOT DONE "O" - ticklers marked N/A "A" - ALL ticklers "S" - don't select by tickler date Those tickler dates as displayed in the TICKLER PAGE will be printed according to the selection you made. This report is handy to ask questions like: "What do I need to get done this month?" "What was accomplished last month?" @@ Enter "y" to select contacts with a note falling within the dates you specify. @@ Enter: "S" - letters SENT "R" - letters RECEIVED "A" - ALL letters sent or received "N" - do NOT select letters Those contacts with letters sent and/or received within the dates specified will be printed. @@ Record a short note to be stored in the PHONE LOG PAGE. Once finished with the message press the "ESC" or "ENTER" key. The elapsed time clock will be continually updated while you enter keystrokes. If you call up the HELP screen or press the NOTES key or escape to DOS, you will then need to press another key within the window to update the elapsed timer. @@ First pick up the phone receiver then press any key (the space bar is easiest) to disconnect the modem from the phone line. If the party answers or if you get a busy signal or no answer, the next prompt will give you the choice of entering the outcome of the call. @@ Enter: "B" - a busy signal "N" - no answer "O" - the party answered "L" - you left a message "ESC" - to abort the call Any option other than the "ESC" key will add a new entry to the PHONE LOG PAGE. @@ The pause character - "*pa" has been encountered within the document. Contact Plus has paused to allow you to change the form. Change the form then press any key to continue. @@ Enter the string (words) to search. Contact Plus will search the corresponding notes, memo, tickler and phone fields for any field that closely matches the search string specified. Exact matches are necessary, however, upper case and lower case letters will be treated the same. If the string matches any one of the fields in any of the contact records as specified in the prompts below, the contact and the line that matched will be printed out. A non-blank search string must be specified and at least one of the search fields must be "yes". @@ "Y" - search the MEMO field on the HEADER PAGE "N" - do not search the MEMO field @@ "Y" - search all tickler notes in the TICKLER PAGE "N" - do not search the TICKLER PAGE @@ "Y" - search all messages in the PHONE LOG PAGE "N" - do not search all messages in the PHONE LOG PAGE @@ "Y" - as each record is printed to the capture file or the printer a log will be stored in the top entry of the LETTERS PAGE "N" - log will not be recorded @@ Each prompt ending with "..." means that the F10 key is available for use in that field. To modify an option on the POPUP MENU, position the highlight bar over the field to modify then press the F10 key. Make your change then press "ENTER" for the change to take effect.
